The Maintenance Cost vs Vehicle Age report tracks how much each vehicle costs to keep running as it gets older, and flags the point where replacing it becomes cheaper than repairing it. It is built for fleet and finance managers planning capex.

What the report shows

Each run charts cumulative maintenance spend against vehicle age and projects where costs are heading.

  • Crossover Risk — vehicles nearing the point where ongoing repair cost overtakes the value of keeping them, signalling replacement.
  • Projected Capex — the replacement spend the report anticipates based on current cost trajectories.
  • YTD Maintenance — total maintenance spend across the fleet so far this year.
  • Avg/Vehicle — average maintenance cost per vehicle, a quick benchmark for spotting outliers.
  • Accelerating Cost — vehicles whose maintenance spend is rising faster over time, not just staying high.

How to run it

  1. Open Reports and choose the Fleet Intelligence category (or search “maintenance”).
  2. Select Maintenance Cost vs Vehicle Age.
  3. Set the date range you want.
  4. Click View to see it on screen, or Download for a PDF or Excel copy.

Schedule it

Open the Scheduled tab and set the report to run monthly so replacement risk and projected capex land in your inbox automatically ahead of budgeting reviews.

Frequently asked questions

What is the crossover point?

It is the age or spend level at which a vehicle's cumulative maintenance cost outweighs the benefit of keeping it, making replacement the more economical choice.

Why does accelerating cost matter more than high cost?

A consistently high-cost vehicle may be predictable, but one whose costs are accelerating is heading toward the crossover point fast and deserves earlier attention.
