Fleet P&L Summary

The Fleet P&L Summary gives you a one-page monthly view of what your fleet costs to run. It breaks total operating cost down by category — fuel, maintenance, and driver cost — shows the month-on-month trend, and projects your annual run rate, so finance and fleet managers can read the bottom line at a glance.

What the report shows

Each run summarises your fleet's finances for the selected period:

• Total operating cost — the combined cost of running the fleet.
• Cost by category — fuel, maintenance, and driver cost, split out.
• Cost per vehicle — average operating cost across the fleet.
• Month-on-month trend — how this period compares with the previous one.
• Projected annual run rate — where you land over 12 months at the current pace.
• Revenue and margin, where revenue data is available for your account.

How to run it

1. Open Reports and choose the Fuel & Cost category (or search “P&L”).
2. Select Fleet P&L Summary.
3. Set the month or date range you want.
4. Click View to see it on screen, or Download for a PDF or Excel copy.

Schedule it

The Fleet P&L Summary is best run monthly. Use the Scheduled tab to have it emailed automatically at the start of each month, covering the previous 30 days — so it lands in your inbox without anyone running it.

Frequently asked questions

Where does the cost data come from?

Fuel cost comes from your fuel entries and fuel-level sensors, maintenance cost from your service logs, and driver cost from driver pay settings. The more complete your entries, the more accurate the summary.

Can I see revenue and margin?

Yes, where revenue data is available for your account — the report shows revenue alongside cost so you can read margin directly.
