How to schedule a service

  1. Open the Service & Maintenance dashboard and find the task on the priority Kanban board (Overdue or Due Soon).
  2. Click Schedule on the card, or use the 3-dot menu and choose Schedule.
  3. In the Schedule Service dialog, pick the service type (Engine Oil, Brake, General, AC or Tyre Rotation).
  4. Set the scheduled date and choose the workshop or vendor.
  5. Enter the estimated cost so it feeds the Est. Cost KPI.
  6. Configure Reminder settings (see below), then save.

What you can set in the Schedule Service dialog

  • Service type — Engine Oil, Brake, General, AC or Tyre Rotation.
  • Scheduled date — the planned date for the work.
  • Workshop / vendor — where the service will be carried out.
  • Estimated cost — the expected spend, rolled into the dashboard's Est. Cost KPI.
  • Reminder — repeat — repeat every N km or every N months.
  • Reminder — trigger — fire at a set odometer reading or N days before the due date.
  • Reminder — notify — alert a chosen person by Email and/or the mobile app.

Dashboard quick actions

  • Schedule / Renew / Resolve / Complete — one-click actions on each card.
  • KPIs — Overdue, Due Soon, Est. Cost and Completed give an at-a-glance view.
  • 3-dot menu — View, Edit, Delete, Add note, Share or Snooze a task.

Frequently asked questions

Can I snooze a task instead of scheduling it now?

Yes. Open the card's 3-dot menu and choose Snooze to push it down the priority queue, then schedule it when you are ready.

How does the odometer trigger know when to fire?

The reminder reads the vehicle's live odometer from its GPS device, so an odometer-based trigger fires when the vehicle reaches the reading you set.
